Managing Your Organization

Learn how to manage your organization's settings in the Optare Portal.

Viewing Organization Details

  1. Go to SettingsOrganization
  2. View your current organization information:
    • Organization name
    • Current subscription plan
    • Seat usage
    • Verified domains
    • Plan features

Current Plan & Usage

Subscription Information

See your active subscription details:

  • Plan name and description
  • Subscription status (Active, Trial, Cancelled)
  • Seat usage (e.g., "45/100 seats used")
  • Billing cycle (Monthly/Yearly)
  • Price per seat

Seat Usage Monitor

A progress bar shows how many seats are in use. If you're approaching the limit (>90%), you'll see a warning to upgrade or contact your admin.

Credits Balance

If your organization uses a wallet system, you'll see:

  • Current credit balance
  • Currency type
  • Quick "Add Credits" button

Managing Verified Domains

Verified domains allow automatic organization membership for users with matching email addresses.

Adding a Domain

  1. Go to SettingsOrganization
  2. Scroll to "Verified Domains" section
  3. Enter your domain (e.g., company.com)
  4. Click "Add Domain"
  5. You'll receive DNS verification instructions

Domain Verification

To verify a domain:

  1. Add a TXT record to your DNS:
    Type: TXT
    Name: @ (or your domain)
    Value: optare-verification=<your-verification-token>
  2. Wait for DNS propagation (can take up to 48 hours)
  3. Return to the portal and click "Verify domain"

Domain Status

Domains show one of two statuses:

  • Verified - Domain is active and users can auto-join
  • Pending - Waiting for DNS verification

Removing a Domain

  1. Find the domain in the list
  2. Click the trash icon
  3. Confirm removal

Note: Removing a verified domain won't affect existing members, but new users with that email domain won't auto-join.

Standard Features (All Plans)

  • Unlimited Members
  • SSO (Google, GitHub)
  • Community Support

Premium Features

Your subscription may include:

  • Advanced integrations
  • Priority support
  • Custom domains
  • Audit logs
  • SAML SSO (Enterprise)

Locked Features

If you're on a free plan, you'll see grayed-out features showing what's available in paid tiers.

Upgrading Your Plan

To upgrade:

  1. Click "Upgrade Plan" or "View Plans"
  2. Browse available subscriptions

in Subscriptions section 3. Select the plan that fits your needs 4. Complete the payment process

Need to Edit Organization Details?

Current Limitation: Organization name, slug, and logo editing is being implemented. For now, contact support@optare.one to update these details.

Best Practices

  1. Verify your domain - Enable auto-joining for team members
  2. Monitor seat usage - Upgrade before hitting limits
  3. Review plan features - Ensure you have what you need
  4. Keep billing current - Avoid service interruptions
