Managing Team Members

Learn how to invite, manage, and remove team members from your organization.

Viewing Team Members

  1. Go to Members from the sidebar
  2. See a list of all organization members with:
    • Member name and email
    • Role (Owner, Admin, Member)
    • Join date
    • Status (Active, Pending)

Inviting Members

Single Invitation

  1. Go to MembersInvite Member
  2. Enter the email address
  3. Select the role:
    • Admin - Can manage members and resources
    • Member - Standard access to features
  4. Click "Send Invitation"

The user will receive an email with an invitation link.

Bulk Invitations

For inviting multiple members at once:

  1. Go to MembersBulk Invite
  2. Enter multiple email addresses (one per line)
  3. Select the default role for all invitations
  4. Click "Send Invitations"

This is useful when onboarding entire teams.

Understanding Roles

Owner

  • One per organization
  • Full control over the organization
  • Can manage all members including admins
  • Access to billing and subscriptions
  • Can delete the organization

Admin

  • Can manage members (except owner)
  • Can create and manage resources
  • Can view audit logs
  • Cannot delete organization
  • Cannot change owner

Member

  • Read-only access to organization
  • Can use licensed products
  • Cannot manage other members
  • Cannot create resources

Managing Pending Invitations

Pending invitations show in the member list with a "Pending" status.

Resending Invitations

  1. Find the pending invitation
  2. Click "Resend Invitation"
  3. User receives a new email

Canceling Invitations

  1. Find the pending invitation
  2. Click "Cancel" or remove icon
  3. Confirm cancellation

Removing Members

Note: Only Owners and Admins can remove members.

  1. Go to Members
  2. Find the member to remove
  3. Click the remove/trash icon
  4. Confirm removal

What happens when you remove a member:

  • They lose access to the organization immediately
  • Their data isn't deleted
  • They can be re-invited later
  • Seat count is decremented

Seat Limits

Your organization has a maximum number of seats based on your subscription.

Checking Available Seats

  1. Go to SettingsOrganization
  2. View "Seat Usage" section
  3. See used vs. total seats (e.g., "45/100")

What Counts as a Seat?

  • Active members (accepted invitations)
  • Pending invitations count against the limit
  • Owner counts as 1 seat
  • Removed members free up a seat

Running Out of Seats?

When you reach your seat limit:

  • ❌ You cannot send new invitations
  • ✅ Existing members remain unaffected
  • 💡 You'll see a prompt to upgrade your plan

Options:

  1. Remove inactive members
  2. Cancel pending invitations
  3. Upgrade to more seats

Auto-Join via Verified Domains

If your organization has verified domains, new users with matching email addresses can automatically join.

How it works:

  1. User signs up with user@company.com
  2. Organization has company.com verified
  3. User automatically becomes a Member of the organization

This eliminates the need to manually invite everyone.

Best Practices

  1. Use appropriate roles - Don't make everyone an admin
  2. Verify domains - Enable auto-join for your company
  3. Monitor seat usage - Upgrade before hitting limits
  4. Remove inactive users - Keep your member list clean
  5. Use bulk invite - Faster for onboarding teams

Troubleshooting

Invitation not received?

  • Check spam/junk folders
  • Verify email address is correct
  • Try resending the invitation

Can't invite more members?

  • Check if you've reached your seat limit
  • Remove pending invitations that won't be accepted
  • Contact admin to upgrade the plan

Member has wrong role?

  • Only Owner can change admin roles
  • Admins can change member roles
  • Contact organization owner for role changes
